Here at Oaklands Estates we have put together this short letting guide to help you navigate the process of letting out your property.

Accurate Valuation

We will visit your property and carry out an in-depth assessment to determine the rental value that can be obtained. We do this by analysing comparable properties that have been recently let by ourselves as well as the wider market, considering factors such location, size of property, number of bedrooms and bathrooms, overall condition, parking, garden, furnishings and much more. We will then suggest ideas on how you could achieve an optimum rental value, which are there for you to consider. We always look to achieve optimum rent for our clients and will suggest a price we feel is optimistic as well a realistic.

Legal Obligations

An often overlooked yet vital aspect of letting your property is the legal requirements that you the landlord is responsible for.

Requirements such as a valid EPC Certificate, Gas Safety Record & Provision of functioning Smoke Alarms are among the most important.

Finding the Right Tenant for your Property

Finding the right tenant for your property can be just as valuable as obtaining the best rental value, in both the short and the long run. Tenants with a solid credit history, strong employment background and positive landlord references attract a more secure tenancy for your property.

Receiving an Offer

As soon as an offer is received on your property we will contact you with full details of the offer, including requests such as the proposed move in date etc... so that you decide whether or not to accept the offer.

Once you have accepted an offer we will carry out the following:

  • Collect a Holding Deposit from the tenants.
  • Carry out all necessary reference checks – once these are complete and are passed we can move on to the next stage.
  • Arrange signing of the legally bound up to date Tenancy Agreement.
  • Collect the remaining balance of the payment of rent + balance of deposit.
  • Legally register the deposit with the Deposit Protection Scheme, resulting in a faster and more efficient deposit release process at the end of the tenancy.

Completion

Once all monies have been received from the tenant and contracts signed, we will hand over a set of keys to the tenant and they will move in.

Landlord Fees

Oaklands Estates charges landlord fees depending on our three service levels:we offer a choice of services to suit any landlord. Whether you choose to have a full management service and you let us take care of everything or would rather manage your own let.

Three service levels:

  • Lettings Only Service
  • Letting and Rent collection
  • Letting and full management

Lettings only service charge of 8%:

  • Provide advice on current market conditions
  • Advise on the presentation and preparation of your property
  • Market the property (advertise on relevant portals)
  • Arrange and conduct viewings for prospective tenants
  • Arrange all necessary Credit checks and third-party referencing
  • Produce and administer Tenancy Agreement

Letting and rent collection charge of 10%:

This service includes the same items as the Lettings Only package as well as:

  • Rent collection on a monthly basis and the transfer of all utility bills on the new tenant's name(s) if required. collect the ongoing Rent, and forward the balance to the Landlord, less the Agent fees and any deductions, in a timely manner.

Letting & Full Management Charge of 13%:

  • Collect initial rent payment, Tenant deposit and other administration costs
  • Holding keys service throughout the Tenancy Term
  • Register Tenants deposit with an approved scheme
  • Organise Inventory and check-in
  • Organise an Energy Performance Certificate (*fees apply)
  • collect the ongoing Rent, and forward the balance to the Landlord, less the Agent fees and any deductions, in a timely manner
  • Organise a Gas Safety Certificate (*fees apply)
  • Deal with and arrange for repairs with approved contractors
  • Pay invoices resulting from repairs, service charges and other Property related outgoings
  • Prepare statements detailing rent received as well as any other income or outgoings in respect of the Property
  • Deal with day to day management matters
  • Organise inventory check-out
  • Deal with the end of Tenancy and any related issues such as damage caused by the Tenant
  • Release Tenants deposit once agreement is reached between Landlord and Tenant
  • Submit any disputed amount to the Tenancy Deposit Scheme for adjudication
  • Refurbishment Services - To advise on and project manage the redecoration and refurbishment of our clients' properties to maximise their letting potential, we charge a fee of 10% of the total cost of works.

Tenancy agreement fees:

  • Long term let - £300
  • Short term let - £150
  • Gas Safety Certificate - *£75
  • Energy performance Certificate - *£98

Guaranteed Rent

At Oaklands Estates we offer a rent guarantee management service to landlords. Under a guaranteed rent arrangement, you sign over the property to us for a specified period in return for a guaranteed monthly income. The rent guarantee scheme is a stress-free solution to renting your property.

With our guaranteed rent management service, we currently manage properties in Hammersmith and Fulham, Shepherds Bush, Acton and Ealing.

Our highly skilled management team provide a professional and reliable service. We are experienced in selecting and matching suitable Tenants to properties.

We sublet properties to Corporate Clients and young professionals.
